Teams, roles and settings

Projects always belong to a team. A team decides who sees and edits a project. An organization can have any number of teams, and a person can be in several teams.

There are two kinds:

  • Personal: Betterplan creates a personal team for everyone automatically. It has no other members, its name cannot be changed, and you cannot delete it.
  • Shared: A team you create yourself and share with colleagues.

Choosing and creating a team

At the top of the sidebar is the selector for organization and team. Clicking it opens the menu with All Teams, your personal team and your shared teams. When you pick a team, the start page shows only its projects, and the sidebar gains a Team section with Settings and Members.

The Members page with the team menu open at the top left. Under the heading ACME are All Teams, Alex Beispiel (the personal team), Product team (1) and Create Team in Acme (2).
The team menu with a shared team (1) and the entry for creating one (2). The Product team is a temporary example team; the personal team carries a neutral name for the capture.

To create one, choose Create Team in <organization> (2). Betterplan asks for the team name in a small browser dialog; afterwards you are the owner of the new team. The entry only appears while your organization is in its trial or has an active subscription, see Subscription and trial.

The three roles

Each team member has a role: Owner, Admin or Member. The role only applies in that team.

A team has exactly one owner: the person who created it, or whoever took over ownership. When adding people you only choose Member or Admin.

Organization owner

The organization's owner is not automatically the owner of every team. They can, however, transfer a team's ownership even without being its owner. Otherwise they cannot manage teams in the interface where they are only a member.

Managing team members

Under Team → Members you see all members with email, role and join date.

The Team Members page of the Product team with 3 members. At the top right the Add Member button (1). The table shows Alex Beispiel with the role owner, Mia Muster with admin and Jonas Beispiel with member; the role column is highlighted (2). On the right are trash icons; those of the last two rows are highlighted (3), the one in the owner row is greyed out.
The team members with **Add Member** (1), the roles (2) and the remove icons (3). Mia Muster and Jonas Beispiel are temporary example guests; their email addresses are neutralized for the capture. The app shows the roles in lower case.

The remove icon (3) takes effect immediately without confirmation; for the owner it is disabled. Only team owners and admins see the buttons.

Adding a member

Click Add Member (1). In the Add Team Member dialog you pick a person from your organization under User and Member or Admin under Role.

The Add Team Member dialog in front of the team table. The User field with the selection Lea Probe is highlighted (1), as is the Role field with Member (2). At the bottom right the Add Member button is highlighted (3), next to Cancel.
The add dialog with user (1), role (2) and confirmation (3). Lea Probe is a temporary example guest; she was not actually added for the capture.

Only members of the organization appear in the list. If someone is missing, they must join the organization first, see Members.

Team settings

Under Team → Settings you find the Team Name, the number of Members, Your Role, the Type (Personal or Shared) and the number of Projects.

The Team Settings page of the Product team. The Team Name field with Product team is highlighted (1), below it Members 3. Your Role with Owner is highlighted (2), below it Type Shared and Projects 0; the Save Changes button is greyed out. The Ownership section with the button Owner übertragen is highlighted (3). The Danger Zone begins at the bottom edge.
The team settings with team name (1), your role (2) and the **Ownership** section (3). The Product team is a temporary example team. The button label is untranslated in the app.

Change the name and click Save Changes; only owners and admins can do that. For a personal team the field is locked.

Transferring ownership

In the Ownership section (3) you hand ownership to another organization member. The previous owner becomes an admin. The team owner and the organization owner can do this.

The ownership transfer dialog, titled Owner übertragen. The text says Alex Beispiel becomes admin. The New owner selection is open and shows Mia Muster and Jonas Beispiel (1). At the bottom right the Übertragen button is highlighted (2), still greyed out.
The transfer dialog with the list of possible new owners (1) and the transfer button (2). The dialog is only opened, not confirmed. The app shows this dialog in German even in English; the two names are temporary example guests.

Pick a person under the owner selection and confirm. If the person is not yet in the team, they are added.

Deleting a team

The Danger Zone with Delete Team is only visible to team owners. If the team still has projects, the button is disabled: delete or move all projects first.

The team settings, scrolled down. The Danger Zone is highlighted (1). Inside it the confirmation Are you sure you want to delete this team? This action cannot be undone. is highlighted (2), below it the buttons Yes, Delete Team and Cancel.
After **Delete Team**, the danger zone (1) asks once more (2). Captured without confirming; the example team was removed another way afterwards.
warning

Yes, Delete Team cannot be undone.

Organization settings

Under Organization → Settings you find Organization Name, Domain and Your Role. Only owners change the name; they confirm with Save Changes. Below is the Danger Zone with Delete organization: it deletes the entire organization with all data and members. To confirm you type the organization name, and with an active subscription you must cancel it first, see Subscription. At the very bottom, About Betterplan shows the current version (the app currently shows this heading in German).

The organization settings. The Organization Name field with Acme is highlighted (1), below it Domain example.com. Your Role with Owner is highlighted (2). The Danger Zone with the button Delete organization is highlighted (3). At the bottom the About section with the version number.
The organization settings with name (1), role (2) and danger zone (3). The organization name is neutralized for the capture.
